Refund Policy

Gunstock Ski Club Refund Policy

Training fees are non-refundable; however, under limited circumstances, the Gunstock Ski Club Board of Directors may approve a refund:

Non-Injury/Non-Illness Related Refund Requests

Training fees will be refunded at 50% for athletes withdrawing from the program for non-injury/non-illness related reasons prior to the first day of on-snow training at Gunstock.

The reason for a partial refund is that the enrolled athlete has filled a slot that another athlete would have likely filled and because coaches have been hired to accommodate the registered athlete. 

Non-injury/non-illness related refunds will not be available after the season begins (i.e., after the first day of on-snow training at Gunstock).

Injury/Illness Related Refund Requests

If an athlete suffers a season-ending injury or illness a refund may be requested. Refunds will be considered using the following guidelines.

  • 100% refund for a season-ending injury or illness prior to first day of on-snow training at Gunstock
  • 75% refund for a season-ending injury or illness prior to January 1
  • Season-ending injuries or illnesses after January 1 will be refunded at the discretion of the Board and at no more than 50%.

Note, these are only guidelines and the Board of Directors reserves the right to deny a refund request.

Making A Refund Request

Refund requests must be submitted to the Program Director in writing. Requests for an injury/illness-related refund must include a notice from a doctor.

The Program Director will present the refund request for approval to the Board of Directors at the next scheduled meeting. A refund request is granted by a 2/3rds majority vote for approval by the Board of Directors. The Board of Directors reserves the right to deny a refund request (entirely or in part) for any reason. If a request is denied, the family may appeal the decision to the GSC President. The GSC President will review the merit of the appeal and decide on whether or not the request should be reconsidered by the Board.

Notification on the status of a request will be provided during the week following the board meeting. 

Refunds apply to training fees only; the family membership fee is not refundable.

If an injured/ill athlete recovers and is cleared to ski at a later date, the refunded training fee must be repaid to the club prior to commencement of training. A doctor’s note is also required stating that the athlete has been cleared to participate.

Season Cancellations

If the Gunstock Ski Club (GSC) is forced to close operations or cancel training for a season, the Board of Directors will use the following guidelines when considering refunds to members:

  • 100% refund if the season is cancelled prior to first day of on-snow training at Gunstock,
  • 50% refund if the season is cancelled prior to January 1st,
  • After January 1st, the board will consider refunds based on what is fair for the members, the circumstances of the closing, and the financial position of the organization.

The Board of Directors reserves the right to modify the refund policy based on what is in the best interest of the organization and its members.
